1. Scope

This policy describes information handled by Roddy Real Estate Group through this website, our owner and resident portals, and our digital rental-administration services. Sales and support use AI-assisted chat, email, and portal messages, not telephone support.

2. Information we collect

Depending on the features you use, information may include:

• Your name, email, mailing address, account details, and communication preferences.
• Property, unit, ownership, occupancy, lease, renewal, and onboarding information.
• Documents, signature-workflow records, accounting entries, balances, and statements.
• Chat, email, support requests, repair reports, and attachments you submit.
• Owner-designated property contacts supplied for report relay and property-specific instructions.
• Browser, device, IP address, access logs, cookies, and website-usage information.

Do not send passwords, full payment-card details, bank credentials, or unnecessary sensitive information through chat, email, or repair-report attachments. Payment-provider integration is not yet enabled; a ledger entry or statement does not itself process a payment.

3. How we use information

We use information to respond to inquiries, authenticate users, link authorized portal access, administer rental records, prepare documents and reports, track renewal decisions and balances, and maintain security and audit records. We may also use website-usage information to improve the service and contact preferences to manage requested updates.

4. Digital communications and AI assistance

Chat, email, and portal messages are our primary communication channels. When AI features are enabled, submitted messages and relevant rental records may be processed by an AI service to assist with answers or drafts. Do not treat an AI response as legal advice, an owner spending approval, a vendor dispatch, or confirmation that a physical-property issue has been resolved.

You can contact our team by email to request human review. Marketing opt-outs do not necessarily stop account, security, or service communications needed to administer your account.

5. Information sharing

Information may be shared with service providers supporting hosting, authentication, storage, email delivery, and enabled AI or document features; with authorized owners, residents, and staff as needed for the rental relationship; and when required by law or necessary to protect legal rights. External providers have their own applicable privacy terms.

Repair reports may be relayed to the owner or an owner-designated property contact. Relaying a report is not maintenance coordination, authorization of spending, scheduling, or vendor dispatch. Owners remain responsible for physical-property work and the contacts they designate.

We do not sell or rent your personal information for third-party marketing.

6. Cookies and external services

Cookies may support sign-in, security, preferences, and website measurement. Browser controls can restrict cookies, although disabling necessary cookies may prevent portal access. Links to external websites are governed by those websites' privacy practices.

7. Security and retention

We use access controls and other safeguards designed to protect information, but no online service can guarantee absolute security. We retain records as needed for service delivery, accounting, security, dispute handling, and applicable retention obligations. Some records may need to be retained after an account closes.

8. Privacy requests

Contact us to request access, correction, deletion, or a change in marketing preferences. Available rights and exceptions depend on applicable law. We may need to verify your identity and authority before responding, and we may be unable to delete records subject to retention requirements or another person's rights.

9. Children

Portal accounts and service inquiries are intended for adults. Please do not submit unnecessary information about children. Contact us if you believe a child has provided information directly.
